Electronic Time Card

Individuals placed by HRM are responsible for submitting their hours using our Timesheet.

Instructions for EMPLOYEE use:

Requirements:

  • A workstation (Windows or Macintosh) equipped with an email client application, Outlook, Entourage, Macintosh Mail, etc.
  • Adobe Acrobat version 8.0 or later, click here to download the free application at Adobe’s website.
  • The email address of your current job supervisor

Download the Timesheet PDF and make note of the location of the file. We recommend you create a folder specifically for storing your timesheets and maintaining an archive for your records.

Open the Timesheet using Adobe Acrobat 8.0 Entering the following information is mandatory:

  • Your Name
  • Your SSN
  • Week Ending Sunday
  • Your daily hours
  • Total Hours

Please check your entries carefully.

Your supervisor may provide you with information for Branch Number, Letter and Job Number, or they may elect to fill in that information separately. When complete, click Submit Form. Upon clicking, the form is programmed to open your default email client application. Enter the email address of your supervisor, you may also include a text message. A copy of the Timesheet PDF with your entries will automatically appear as an attachment to the email. This concludes the Employee’s part of the process, the remainder will be done by the supervisor.

Instructions for SUPERVISOR use:

Requirements:

  • A workstation (Windows or Macintosh) equipped with an email client application, Outlook, Entourage, Macintosh Mail, etc.
  • Adobe Acrobat version 8.0 or later, click here to download the free application at Adobe’s website.
  • An Adobe Digital Signature Identity file. If you do not have one, you will be walked through a process to acquire one, make note of the location of this file for future use.

An email with the Employee’s Timesheet will appear in your inbox. Open the Timesheet PDF using Adobe Acrobat 8.0 or later. Enter or verify information for:

  • Branch Number
  • Letter
  • Job Number
  • Employee Name
  • Employee SSN
  • Week Ending Sunday

Verify the Totals Hours Worked and enter information for:

  • Title (Supervisor’s job title)
  • Company Name
  • Division or Department
  • City

Check the appropriate button for Assignment Completed and click the Customer Signature region to digitally sign the form. When complete, click Submit Form. Upon clicking, the form is programmed to open your default email client application. Enter the email address of your HR Management rep, you may also include a text message. A copy of the Timesheet PDF with the Employee’s entries and your entries will automatically appear as an attachment to the email. This concludes the Supervisor’s part of the process.
